CANCELLATION & REFUND POLICY

This Cancellation & Refund Policy explains how cancellations, service changes, missed pickups, unused services, and refunds are handled by Dorm Butler. This policy applies to Dorm Butler services and purchases unless a specific written agreement or applicable law requires a different result. This policy should be read together with the Dorm Butler Terms & Conditions and Service Policies.

Effective September 9, 2026

Last Updated October 1, 2026

1. GENERAL CANCELLATION PRINCIPLES

Dorm Butler understands that plans can change. Cancellation and refund treatment depends on the type of service purchased, whether the service has already been scheduled or begun, and whether Dorm Butler has already performed work, reserved service capacity, purchased items, or made other arrangements specifically for the customer.

Not every service is treated the same way.

Customers should review the cancellation terms that apply to the specific service before purchasing or accepting a service.

A cancellation request does not automatically create a right to a refund.

2. HOW TO REQUEST A CANCELLATION

Customers should contact Dorm Butler as soon as they know they need to cancel or change a service.

Cancellation requests should be submitted through the available Dorm Butler customer communication channel or contact method.

A customer should provide enough information for Dorm Butler to identify the applicable account, service, order, or request.

Dorm Butler will review the request based on the type and status of the service.

A request to cancel is not considered confirmation of a refund unless Dorm Butler confirms that a refund is applicable.

3. SEMESTER LAUNDRY PACKAGES

Semester Laundry Packages are purchased for the applicable semester and are not month to month purchases.

When a Semester Laundry Package has been purchased, the customer is purchasing the package for the applicable semester rather than purchasing individual weekly services that may be canceled one at a time.

Semester Laundry Package purchases are nonrefundable once purchased, except where a refund is required by applicable law or where Dorm Butler expressly approves an exception.

A customer who stops using the service during the semester does not automatically receive a refund for unused weeks, unused pickups, or unused portions of the package.

Failure to use all available service within the applicable semester does not convert the package into a month to month service or create a refund entitlement.

4. CHANGES TO A SEMESTER LAUNDRY PACKAGE

Customers may contact Dorm Butler if they need to update information associated with their service.

A requested change does not automatically change the price, duration, or refundability of an existing package.

Dorm Butler will determine whether a requested change can be accommodated based on the circumstances and the applicable service structure.

5. SKIPPING A WEEKLY LAUNDRY PICKUP

A customer who needs to skip an upcoming weekly laundry pickup should notify Dorm Butler before the applicable pickup window whenever reasonably possible.

Skipping a weekly pickup does not create a refund for that week.

A skipped pickup may not automatically be rescheduled for another week.

Customers should not assume that an unused pickup can be transferred, accumulated, exchanged, or converted into another service unless Dorm Butler confirms that arrangement.

6. MISSED PICKUPS

If a customer is unavailable, fails to have laundry ready, does not provide access to an approved pickup location, or otherwise misses an applicable pickup window, the pickup may be treated as a missed pickup.

A missed pickup does not automatically create a refund.

Dorm Butler may determine whether another pickup can be arranged based on availability and the circumstances.

Customers should contact Dorm Butler promptly if a pickup is missed.

7. RETURN OF COMPLETED LAUNDRY

Once laundry has been processed and is ready for return, the customer remains responsible for providing any required access or availability necessary for delivery or return.

Failure to receive completed laundry does not automatically cancel the service or create a refund.

If a customer cannot receive a completed order during the expected return process, the customer should contact Dorm Butler as soon as possible so that the situation can be reviewed.

8. BUTLER SERVICES

Dorm Butler Butler Services may include services such as Event/Birthday Butler and Errand Butler services.

Because these services may involve planning, scheduling, service preparation, purchasing, reservations, coordination, travel, or other arrangements, cancellation treatment may depend on how far the service has progressed.

A customer should request cancellation as soon as possible.

A cancellation request does not automatically create a refund.

9. EVENT AND BIRTHDAY SERVICES

Event and Birthday Butler services may require Dorm Butler to reserve time, coordinate service details, purchase or arrange items, or make other preparations specifically for the customer’s request.

If a customer requests cancellation after work, purchasing, preparation, reservations, or other arrangements have begun, Dorm Butler will review the circumstances before determining whether any refund is available.

Amounts that Dorm Butler has already committed or paid to third parties on the customer’s behalf may affect whether money can be returned.

Dorm Butler does not promise that all amounts associated with a canceled event or birthday service can be recovered.

10. ERRAND SERVICES

Errand Butler services may involve planning, travel, purchasing, delivery, coordination, or other work performed specifically for a customer.

Customers should request cancellation before the service begins whenever possible.

If an errand has already begun, Dorm Butler may have already incurred time, travel, purchasing, or other service-related commitments.

Cancellation after work has begun does not automatically create a right to a refund.

11. QUOTED SERVICES

Some Dorm Butler services may be reviewed and quoted based on the customer’s requested scope.

A customer may cancel a quoted service before accepting the quote without being charged for work that has not been performed, unless the customer has separately agreed to another arrangement.

Once a quote has been accepted, the customer’s service request may move into scheduling, preparation, purchasing, coordination, or performance.

If the customer cancels after accepting a quote and Dorm Butler has begun work or made arrangements for the service, the cancellation will be reviewed based on the circumstances.

12. SERVICES THAT HAVE ALREADY BEGUN

Once a service has begun, cancellation generally does not undo work that has already been performed.

If Dorm Butler has already provided part of a service, the customer may remain responsible for amounts applicable to work already performed or commitments already made.

Any refund consideration will depend on the specific circumstances and applicable law.

13. CUSTOMER REQUESTED SERVICE CHANGES

A request to change the date, time, location, scope, items, or other details of a service is not necessarily the same as a cancellation.

Dorm Butler will review requested changes based on availability and the status of the service.

A requested change may not be possible if the service has already been scheduled, prepared, started, or otherwise committed.

Customers should contact Dorm Butler as early as possible when they need to change a service.

14. THIRD PARTY PURCHASES AND COMMITMENTS

Some Butler Services may require Dorm Butler to purchase items, coordinate with third parties, reserve services, or make other commitments at the customer’s request.

If a customer cancels after such commitments have been made, Dorm Butler will review whether any amounts can be recovered.

Amounts that have already been spent or become nonrecoverable may not be refundable.

Dorm Butler will not represent that a third party will provide a refund unless that third party has actually approved one.

15. REFUNDS

When a refund is approved, Dorm Butler will process the refund to the original payment method used for the applicable purchase whenever reasonably possible.

The timing of a refund appearing in the customer’s account may depend on the customer’s financial institution or payment provider.

Dorm Butler does not control the processing time of a customer’s bank, card issuer, or other payment provider.

A refund approval does not necessarily mean that the funds will appear immediately.

16. NO AUTOMATIC REFUNDS

Refunds are not automatically issued because a customer:

• Stops using a service

• Misses a pickup

• Skips a week

• Changes plans

• Does not use all available service

• Is unavailable at a scheduled time

• Changes schools or residences

• No longer needs the service

• Does not respond to a service communication

• Changes an event or birthday plan

• Decides not to proceed after purchasing a nonrefundable package

Customers should contact Dorm Butler if they believe a specific circumstance requires review.

17. SERVICE INTERRUPTIONS

If Dorm Butler is unable to provide a service because of circumstances within Dorm Butler’s control, Dorm Butler will review the situation and determine what resolution is appropriate under the circumstances and applicable policies.

If service cannot be provided because of circumstances outside Dorm Butler’s reasonable control, including circumstances involving weather, campus access, residence restrictions, emergencies, transportation disruptions, or other events outside reasonable control, the applicable circumstances will be reviewed before any refund or rescheduling decision is made.

Nothing in this section limits any rights or remedies that cannot legally be waived.

18. CUSTOMER ACCOUNT OR SERVICE INFORMATION

Customers are responsible for keeping their contact and service information accurate.

If incorrect or incomplete information provided by the customer affects the ability to provide a service, the resulting situation does not automatically create a refund.

Customers should promptly notify Dorm Butler of relevant changes to contact information, residence information, pickup information, or other service details.

19. REFUNDS REQUIRED BY LAW

Nothing in this Cancellation & Refund Policy is intended to eliminate, restrict, or waive any right to a refund, cancellation, chargeback, remedy, or other protection that cannot legally be waived.

Where applicable law requires Dorm Butler to provide a refund or other remedy, Dorm Butler will comply with that legal requirement.

20. CHARGEBACKS AND PAYMENT DISPUTES

Customers should contact Dorm Butler first when they believe a charge is incorrect, unauthorized, or should be reviewed.

A payment dispute or chargeback should not be used to bypass the cancellation and refund process when the customer can reasonably resolve the issue directly with Dorm Butler.

Dorm Butler reserves the right to respond to payment disputes and provide relevant transaction or service information to the applicable payment institution or financial service provider.

Nothing in this section limits rights provided by applicable law.

21. CANCELLATION CONFIRMATION

Customers should retain any confirmation provided by Dorm Butler regarding a cancellation, service change, or refund.

A customer should not assume that a cancellation has been completed solely because a request was submitted.

Where confirmation is appropriate, Dorm Butler may communicate whether the request has been accepted and whether any refund applies.
